What Actually Breaks on Commercial AC
Commercial systems fail for boringly predictable reasons, and the majority are maintenance problems rather than component failures. That is worth knowing, because it means most breakdowns are both cheaper to fix and entirely preventable.
Blocked filters and coils
The single biggest cause of "it is not cooling any more". A choked system works harder, delivers less, runs the compressor hot and eventually trips out. In a kitchen or a gym it happens far faster than anyone expects.
Condensate pump or drain failure
Water in the tray with nowhere to go trips the float switch and shuts the unit down — or worse, overflows through a ceiling tile onto your floor. Very common, very preventable.
Electrical and controls faults
Loose terminals, failed contactors, isolators that have been switched off by someone tidying up, controllers locked out on a fault code nobody has read. Always worth checking before assuming the worst.
Fan motors and bearings
Noise usually comes before failure. A bearing that has started to whine gives you weeks of warning if someone is listening for it — which is one of the arguments for planned maintenance.
Refrigerant faults
Less common than people assume, but real. These need F-Gas qualified handling and proper leak investigation rather than simply topping up and hoping, which is both bad practice and, for larger systems, a compliance issue.
Repair or Replace?
A lot of commercial AC gets replaced when it did not need to be. If a system is ten years old and needs a controller, that is usually worth doing. If it is eighteen years old, running an obsolete refrigerant and needs a compressor, replacement is genuinely the better answer.

Nobody budgets for air conditioning until it stops. These are the costs that accumulate quietly in the meantime.
Lost trading
A cafe with no cooling in August empties. A restaurant with a failed kitchen system may not open at all. The repair is rarely the expensive part.
No records when someone asks
Insurers, landlords, franchisors and inspectors all ask eventually. A folder of written condition reports is easier than explaining why there are none.
Water damage from blocked condensate
A clogged drain overflows through a ceiling tile onto your floor, your stock or your customers. Entirely preventable on a planned visit.
Breakdowns at the worst time
Commercial AC fails in a heatwave because that is when it works hardest. That is also when every engineer is booked and emergency rates apply.
Staff comfort and productivity
Not a soft issue. An office that is too warm loses output, and it is the complaint that reaches management fastest.
